Switching
Moving over is the easy bit.
From Total Drive, MyDriveTime, a spreadsheet or a paper diary. The switch kit brings your pupils and every future lesson over, and tells your pupils where you’ve gone. You check everything before it’s saved.
The switch kit
Move over in an evening.
Open Moving from another app in More and it walks you through six steps. Keep your old app running until everything is here.
Ask for your data first
A ready-written letter asking your old app for a full copy of your records. It’s your data, and asking before you cancel means nothing is lost.
Bring your pupils
Photograph your old app’s pupil list, upload a file, or read the names out. The AI sets them up and you check them first.
Bring your future lessons
Paste the calendar sync link from your old app (the one it gives you for Google or Apple Calendar). Every future lesson comes over, matched to your pupils.
Tell your pupils
One tap per pupil sends a WhatsApp message with their own link to the free pupil app, so their lessons and reminders follow you.
Swap your booking links
A checklist of everywhere your old link lives: your website, Google profile, Facebook, Instagram and WhatsApp Business.
Cancel after the next bill
When everything is here, cancel straight after your old app’s next payment, so you only pay for the time you used.
The import tool
Three ways in. You check everything.
Open Import in the app, from the Diary tools or Pupils. Pick whichever suits what you can get out of your old app.
- A file: Excel, CSV, Word, PDF or a calendar file
- Photos: snap your old app’s pupil list, or your paper diary
- Your voice: read each pupil out, name, number and hours left
- Nothing is saved or sent to pupils until you tap Save
- Importing has its own AI allowance, so it does not use your monthly credits
What comes over
- Pupils, phone numbers, emails and addresses
- Hours left on blocks and what is owed
- Upcoming lessons, when your file has them
- Test dates and test centres
- Notes

Getting your data out of your old app
What each app lets you take, from their own help pages, checked 30 October 2026.
Total Drive
The Web Admin has a finance CSV download. For pupils and lessons, take screenshots of your pupil list and diary, or ask Total Drive in writing for a backup. Their terms say to ask within 10 days of cancelling, so ask before you cancel.
MyDriveTime
Export a CSV from the web app at web.mydrivetime.co.uk, then upload it here.
Paper diary or spreadsheet
Photograph the pages or upload the spreadsheet. Handwriting is fine if it is clear.

Before you cancel your old app
A quick checklist
1. Get your data out first: export files and screenshots, and ask for a backup in writing if your app offers one.
2. Check when your current plan renews, so you do not pay for a month you will not use.
3. Tell pupils their link is changing. We give you a ready-made WhatsApp message to send.
4. Keep both apps for a week or two if it helps you feel safe.
